Echo AI: Beta Testing Setup Guide

A. Prerequisites

  • Active Zoom account
  • Latest version of Zoom desktop application

B. Authorization and Install Instructions

1. Open the link in your email

2. Authorize Echo AI

A webpage will appear that says, "Echo AI would like permission to," and lists permissions that it requires.

Review the permissions, then check the box that says "Allow this app to use my shared access permissions."

Select the Allow button to authorize the app.

3. Configure Your Zoom Account

Important: Zoom recently changed their rules. Now Basic (free) account holders must have a credit card on file in order to use Zoom apps. However, you can add a credit card and then remove it if you wish. That's totally fine.

Open https://zoom.us/ in a browser. Go to Plans and Billing > Billing Management. If you don't already have a credit card on file, add one.

Note: You can then just remove the credit card from your account.

After adding a credit card, go to My Account > Settings. Then choose Zoom Apps from the tabs listed at the top of the Settings page.

Required: You must enable "Share realtime meeting content with apps". This is a requirement for Echo AI to function properly.

Recommended: We also recommend adding Echo AI to Auto-start, as this will make for a smoother experience.

After this is done, you're all set - now go to the Zoom desktop app.

C. Configure Keywords and Settings

1. Set Keywords

The Zoom desktop app should have opened automatically after you authorized the app. If it doesn't, open it manually from your computer.

At the top of the Zoom desktop app, you should see a tab labeled "Apps". Navigate to the Apps screen, and then select"Echo AI". This will open the Echo AI console.

In the Echo AI console, navigate to the Keywords panel.

Here you can add keywords that you want to track in the meeting. You can also edit or delete keywords you've already added.

By default, the app has added your screen name as keywords - it may be useful for you to be alerted when your name is mentioned. Feel free to remove these if you want.

2. Adjust Settings

You may want to adjust the settings to your liking. You can do this in the Settings panel.

Notification Cooldown: This is the amount of time that must pass before another notification can be sent for the same keyword.

Mentions Auto-Dismiss Interval: This is the amount of time that must pass before a mention is automatically dismissed.

Disable auto-dismiss: This will prevent the mentions panel from automatically dismissing mentions.

Auto-open mentions panel: This will automatically open the mentions panel when a keyword is mentioned.

3. Start a meeting

You're now ready for your first meeting with Echo AI!

D. Using Echo AI During Meetings

1. Start a meeting

Launch Zoom and start or join a meeting.

2. Open Echo AI

Click Apps in the Zoom toolbar, select Echo AI, and authorize access if prompted.

3. Start RTMS

If an alert says "Realtime Data Unavailable", click the Start RTMS button.

Note: If you aren't the meeting host, the host will receive a request to allow Echo AI to access the meeting data.

4. Realtime Meeting Insights

Echo AI automatically analyzes meeting transcripts in order to detect and alert you when a keyword is mentioned. When a keyword is detected, a notification will appear, and a recap of the recent meeting context will appear in your Mentions panel.

Echo AI automatically provides a rolling outline of the meeting as it happens. This outline is updated in real time as the meeting progresses.

Echo AI provides a chat interface for you to ask questions about the meeting and get answers from the meeting transcript.

5. Realtime Meeting Insights

Keyword mentions are detected in the meeting transcript and alerted to you in the Mentions panel.

A rolling outline of the meeting is provided in real time as the meeting progresses.

A chat interface is provided for you to ask questions about the meeting and get answers from the meeting transcript.

E. Removing Echo AI

  1. In a browser, go to the Zoom App Marketplace at https://marketplace.zoom.us/.
  2. Then go to Manage in the top navigation. You might be prompted to log in.
  3. From the left side navigation, select Apps on account, and then under the Added apps section select Echo AI.
  4. On this view, in the row that has your email address, at the far right will be a menu button with a three-dot icon. Click this, and in the menu that opens select Remove.
  5. Then select Remove again from the dialog.
  6. Now Echo AI will be uninstalled, and your user data will be deleted.
